Step 1: Filing an Application for Registration Form Parents who are interested in registering their children in HUBS must complete an Application Form as the first step in having their child considered for registration. This form is available at the school Reception Office and online at:
hayatschool.com/qatar/admissions.aspx
Please note: A verbal expression of interest in registering a child either by a phone call or visiting the school is not considered an application. The school may take verbal information to evaluate demand. However, the school will not be responsible for maintaining records or following up on communication other than that provided through duly completed Application Form.
Step 2: Selection of applicants who will be given an Entry Assessment
Submitting an Application Form also does not guarantee admission to the school. The school will consider all applications and will select those who will be given an Entry Assessment.
Selection of applicants for Entry Assessment is based on several factors including but not limited to seat availability, having sibling(s) at the school, gender and date that an Application Form was received.
Although providing seats for sibling(s) is given priority, it is not the only determining factor. The school needs to observe the ratio of boys and girls to form optimally sized gender segregated classes starting grade 4. Also, with the growing number of students registered at the school, seats in Kindergarten may not be available for all siblings. Limited seats are available for new students in higher grades. The exception is grade 4 where boys and girls are separated.
Step 3: Booking appointments for Entry Assessment All applicants have to sit an Entry Assessment test for the appropriate grade level. Due to the volume of Application Forms received every year, the school will not contact all applicants. Only those who will be booked for Entry Assessment will be contacted.
If there is no response or the applicant does not show up for the booked Entry Assessment, the school will not be responsible to schedule another appointment. The application process may be cancelled and the applicant may lose their opportunity to be assessed for admission at the school.
Step 4: Completing Entry Assessment and communicating results
Completing the Entry Assessment does not guarantee a seat at the school. An applicant must perform in the Entry Assessment to the level that meets the admission standards and must meet all the other requirements of admission at HUBS in order to be considered for registration. This is determined by a senior administrator, who will review performance on the Entry Assessment and other information provided by the applicant to make a decision.
All applicants who complete the Entry Assessment are informed of the results
Step 5: Registration
If the senior administrator approves the application, parents will be informed that they may complete the registration process. The parent must complete the registration process within 48 hours from the time they are informed that their children may be registered.
Completing the registration process requires payment of the required registration fees and submitting all the required documents. Once this is completed, a seat will be booked.
If the registration fee is not paid and required documents are not provided within 48 hours, the seat can no longer be secured and may be offered to the next successful applicant. Once the registration fee is paid and document completed, the applicant becomes registered in the school for the new academic year.
Summary of the Steps Required:
1. Complete and submit an Application Form to HUBS;
2. If provided an Entry Assessment time, be on time for the assessment;
3. If approved for registration, do so within 48 hours by paying all fees and submitting all required forms.
4. The Fee processed for the Entry Assessment is not refundable.
Parents, please note:
• Scheduling Entry Assessment times usually starts in March or as instructed by the Ministry.
• Due to the limited number of available seats, applicants will be contacted for Entry Assessment according to seats availability.
